Project Sharing (Team Data Sharing)

When you create a project, you can share survey data with your team members through the cloud. End-to-end encryption protects the shared survey data, so no third party—including the operator—can read its contents.

Caution: The project sharing feature is currently not offered for general use (limited availability). This chapter documents the procedures for reference when using it within an organization. Registering and using an organization account requires approval from the operator.

Logging in

To use the project feature, you need to log in with an account. Open the login screen from the account button at the top right of the Home screen.

Login screen

  • Connect with Google — Links your Google account.
  • Sign in with an organization account — Log in with an email address and password (6 or more alphanumeric characters and symbols).
    • Create an account — A confirmation email is sent. Activate via the link in the email, then log in. Registration requires approval from the operator.
    • Did you forget your password? — Sends a reset email.

Encryption password (PIN)

At first login, you must register an encryption password (a 6-digit PIN). Repeated digits (e.g. 111111) and sequential digits (e.g. 123456) are not allowed.

  • The encryption password backs up the encryption key that protects shared data.
  • You will need it when you log in on another device or reinstall the app. Manage it carefully so you do not forget it.
  • If you forget it, you need to reset the encryption key (see Account Settings).

Project list

Open the project list from “Projects” in the account menu.

  • The list shows the project name, overview, update date/time, owner, and usage amount. A crown mark indicates projects you own, and tapping a column header sorts the list.
  • ★ (favorite) — Registers a project as a favorite. The ★ in the header switches to showing favorites only.
  • create — Creates a new project.
  • reload — Re-fetches the list from the cloud.
  • Archive (web version only) — Hides finished projects from the normal list. Tap the archive icon shown on rows where you are the owner or an admin. Unlike deletion, no data is removed, so you can restore the project at any time.
    • Turning on “Include archived” in the header also shows archived projects. Their names appear in gray, and the restore icon returns them to the normal list.
  • Tapping a row opens the project settings screen.

Project settings and member management

  • Project name and overview — Only the owner can edit them.
  • Adding members — Add by entering email addresses, separated by commas or newlines for multiple entries. The owner or an admin can do this. Only members who have registered an account can be added; if not registered, “Cannot re-share because this member has not registered an account.” is displayed.
  • Roles
    • Owner — Full permissions over the project (one per project).
    • Admin — Member management, retrieving all members’ data, and (in the web version) settings, data management, export, and deletion.
    • Member — Viewing data and editing their own data.
  • Re-sharing the encryption key — Run this when a member has reset their encryption key and can no longer decrypt data. Open the ”⋮” menu at the right end of the member’s row and choose “Re-share encryption key”. Admins can run it for any member; members can run it toward the owner. After “The encryption key has been re-shared.”, ask them to reopen the project.
  • When saving, if the owner is the only admin, you are warned “The owner is the only administrator. It is recommended to assign another administrator…”. We recommend having multiple admins in case the owner resets their encryption key.
  • open — Retrieves the project’s data and moves to the Home screen.

Web-version-only buttons (owner / admin)

  • set — Enters project settings mode to change the common layer structure and more. Confirm your changes with “save / cancel” on the Home screen.
  • Data — Opens the Cloud Data Management screen. See “Cloud Data Management”.
  • DL — Exports all of the project’s data and settings to a file (web version only).
  • delete — Deletes the project (close the project before running).

Layer visibility settings

While a project is open, “Permission” (Private / Public / Common) is shown on the Layer settings screen. You cannot change it after data has been entered.

  • Private — Only you can view and edit it.
  • Public — All members can view it (only you can edit).
  • Common — A project-wide common layer. It is read-only for members; admins edit it in project settings mode.

Retrieving and sending data

While a project is open, tapping the project label (top center) shows the operation buttons.

  • home — Jumps the map to the project’s extent.
  • pull — Downloads the latest data from the cloud. Owners/admins are shown the choice “Do you also download private data from other members as an administrator?”.
  • push — Uploads your own data to the cloud.
  • end — Closes the project. As warned by “Any data that has not been uploaded will be discarded!!”, send any data you need first. An automatic backup is created on the device just before closing (see Settings).

Data conflicts

If the same data has been edited on multiple devices, the conflict resolution screen appears when you retrieve data. For each candidate, choose “Apply This Data” or “Apply Deletion”, or handle them in bulk with “Prioritize Mine for Remaining” or “Prioritize Latest for Remaining”.

Cloud Data Management (web version; owner / admin only)

From “Data” in the project settings, you can review and delete cloud data in a layer → user tree.

  • The number of data items and the last update are shown per layer. Entries are grouped by permission (Private / Public / Common) and by user.
  • Data left behind in deleted layers is shown in red as “Orphan” and can be cleaned up together.
  • Selecting a layer and deleting it warns “Layer definitions and all associated data and photos will be deleted. This action cannot be undone.”. As the warning says, the deletion cannot be undone.

Logging out

Log out with “Logout” in the account menu. You are asked “Do you want to log out? Data will be discarded.” While connected to Google, the message adds “…and your Google account will be disconnected.”. An automatic backup is created before logging out.

Notes

  • The data itself (location, attributes, and photos) is stored encrypted. Metadata such as email addresses, display names, and project names is stored unencrypted, as it is necessary to provide the service.
  • Retrieving and sending project data requires an internet connection.
  • While a project is open, you cannot add or delete layers, import layer settings (json), or use “Load data” on the Settings screen. Close the project first.
